This is a full-time position located at the National Office in Colorado Springs. This position is under the direction of the Director for Envision and is responsible for providing administrative oversight and coordination for the Envision Office. In the performance of these duties, this position will support the overall mission of the C&MA as described below.

Requirements:

  • 1–2 years college preferred
  • Training or exposure to this or a similar job in order to develop efficiency or to obtain some background of helpful precedents and principles
  • Requires 1–3 years of experience providing administrative support in an office setting
  • Prefer up to 2 years of experience in a related position within the C&MA

Responsibilities:

  • Acts as an administrative assistant to the director for Envision
  • Exercises a thorough knowledge of the National Office (N.O.) operating procedures; demonstrates familiarity and understanding of Envision Office policies and procedures; processes IT, AM minutes in CMS, IMH, HA, according to Envision (guidelines) handbook
  • Assists with administrative duties associated with short-term trips, internships, residencies, Trek-year, and Giveback, receiving initial inquiries and applications and maintaining a running knowledge of CRM programming (Clear, Circuit Tree etc.)
  • Demonstrates a working knowledge and familiarity with Envision sites to assist Envision leadership with site-related concerns and questions
  • Supports Envision leadership by running internal events such as staff retreats, scheduling staff meetings, and leading the operations of the office
  • Assists with planning, organizing and coordinating of logistics for Envision gatherings including the Leadership Summit, Stateside Gathering, Regional Gatherings, participant trainings, new staff trainings, and other Envision-sponsored events; coordinates travel arrangements, identifies and coordinates speakers, identifies and secures venue, arranges for meals and other comfort-related logistics, coordinates programming, communication, marketing, and child care for gatherings
  • Receives initial trip inquiries and connects the inquirer to appropriate site/site leader as well as general Envision inquiries; participates in domestic and international site leader conferences
  • Handles initial Envision trip-related inquiries if Trips Coordinator is not available
  • May involve travel up to 30 days per year
