This is a full-time position located at the National Office in Colorado Springs. This position provides administrative support to the assistant vice president for Church Advance and Multicultural Ministries (MCM). In the performance of these duties, this position will support the overall mission of the C&MA as described below.

Requirements:

  • 3–5 years of experience in a similar position required
  • 2–4 years of experience in a related position with the C&MA preferred
  • Two years of college in related area preferred
  • Strongly prefer candidates with multicultural exposure

Responsibilities:

  • Provides administrative support and handles routine business matters on behalf of the assistant vice president; answers telephone calls, replies to email and mail; coordinates travel and travel-related meetings; acts on behalf of the executive during his absence ensuring that requests for assistance are directed to the appropriate office or notifies the executive when matters require his attention; represents the office as requested in the absence of the executive at meetings, events, as a speaker, and on committees
  • Prepares a wide variety of communications including letters, forms, flyers, brochures, newsletters, seminar materials, and special manuals from written drafts, and verbal instructions; prepares materials and takes minutes at National Church Advance team meetings; maintains mailing lists; signs for executive on matters related to the office within the scope of authority
  • Coordinates logistics for conferences and special events including publicity, registration, travel, materials, payment of expenses, and arrangements for special speakers
  • Coordinates the Forgivable Loan Program including screening of applications, securing required academic documents, communicating with applicants, preparation of scholarship checks, and letters for approved applicants
  • Coordinates the submission of monthly financial reports from association treasurers and verifies reports; coordinates the issuance of monthly grants for qualifying associations; assists with bank accounts and communication with association leaders
  • Coordinates A. J. Lewis Scholarship Program; finds suitable recipients, acknowledges recipient, notifies donor about recipient, and sends check to college
  • Serves as the resource for national immigration law training and certification information; serves as liaison for Refugee and Immigration Network
  • Assists ethnic associations in preparation for association conferences and events by coordinating contract reviews and approvals; prepares spreadsheets for association elections related to eligible voting delegates and licensed workers
  • Processes Pcard expenses for the executive, prepares purchase orders, journal entries, and accounts payable vouchers, processes receipt of funds, and capital expenditure requests with the approval of the executive
  • Serves as notary public for Church Ministries and the National Office
  • Provides assistance in the preparation of the annual budget for the office
  • Pays annual membership dues for The Immigration Alliance, Ethnic America Network, Laussane Consultation on Jewish Evangelism, and National Hispanic Christian Leadership Conference
  • If needed, serves as backup for the approval of timesheets and time-off requests, for conducting training of new staff, signing purchase orders, journal vouchers, accounts payable vouchers, and other financial documents within the limits set by the vice president
  • Organizes and maintains office files based on functional needs; on an annual basis and within policy, determines what information goes to storage and what can be destroyed
  • Coordinates biennial General Council activities (booths, receptions, meals, registrations, transportation, and other events) for all associations and ministries; arranges for translator for Council services, orders booths, prepares communications and handouts for booths; orders and prepares delegate bags and banner; coordinates booth furnishings and schedules, and coordinates MCM reception; manages travel and hotel arrangements for MCM leaders; attends and works at General Council assisting with booth, seminars, and receptions
