Position Type

  • 30-32 hours/week
  • Onsite – Colorado Springs

This is a full-time position located in Colorado Springs. This position is under the direction of the General Accounting manager and is responsible for overseeing the processing of donor payments. In the performance of these duties, you will support the overall mission of the C&MA as described below.



  • High school graduate or equivalent
  • 1 – 2 years of college preferred in a specialized area, such as accounting


  • 1 – 3 years of experience in a similar job required
  • Up to 2 years of experience within the C&MA preferred


  • Takes the lead in the Donor Services area to plan daily tasks and provide direction to the Donor Services representatives; cross-trains Donor Services staff
  • Processes incoming cash and checks from various in-house sources or by mail; verifies accuracy of donor information and identifies account assignment or reason for contribution; prepares and enters individual, church, and other remittances; calculates check totals by batch and submits checks to General Accounting staff to be scanned and desktop deposited
  • Researches and verifies information to respond to questions and clarify designations on contributions when needed
  • Assigns code for new donors and enters new donor record in the CMS donor system; maintains donor database and keeps current by adding data and making changes to existing information as necessary
  • Answers incoming phone calls; researches information to meet the requests or needs of caller
  • Processes toll free donations and enters information into a weekly batch
  • Processes online and e-check donations into batches
  • Verifies data entry of other Donor Services staff and corrects as necessary; completes batch cover sheet and runs an edit of batch information; posts (integrates) batch to Dynamics GP; runs receipts, scans batch backup, and files batches

Weekly Duties:

  • Is knowledgeable of the Constituency Management System (CMS) database and Funding Management System (FMS) applications; under general direction of the director for Donor Engagement, assists in management and oversight of the FMS to send “second gift” letters and booklets and Alliance Life notification cards for “third gifts” by converting a Crystal report to Excel data; performs mail merge to send letters and cards and enters touch points into FMS
  • Prepares donor batch edits for posting in Dynamics GP by printing edits and attaching support documentation

Monthly or Semi-Monthly Duties:

  • Maintains Donor Services files and secures scanned checks, shredding according to established policy
  • Clones and posts monthly international worker payroll batches
  • Clones and reconciles monthly credit card batches and e-check batches to Stripe; posts to CMS
  • Clones and reconciles monthly direct debit batches, sends file for submission to Wells Fargo, and posts to CMS
  • Processes donations for Tribal Rescue Ministries, entering in separate batches, verifying, posting, and preparing checks for hand delivery to bank
  • Processes Service Center checks and enters payments into Dynamics GP cash receipts batch

Important Clarification:
